About the Position

River Bend Holdings (the “Company”) is seeking a skilled, highly motivated and detail-oriented individual to join the team as Chief Operating Officer. You will join a world-class private trust company operating in a fast-paced environment and will assist the President in completing the company’s initial set up and organization and managing operations and daily administration.

What you will do

You will assist the President in the overall operation and administration of the private family trust company which includes providing efficient, accurate, and confidential trust services to a wide variety of trusts and trust assets. Additionally, you will help set the short- and long-term strategic direction and operations of the Company, ensuring that it is operated in an effective manner.

Responsibilities

• Assist the President with the administration of the daily operations of the Company and the trusts and other entities served by the Company.
• Coordinate day-to-day trust administration activities of the Trust Officers and facilitate operations compliant with applicable law and internal policies and procedures.
• Coordinate the preparation and distribution of all Federal and State tax returns for the Company, and for trusts and other entities served by the Company, either through internal or external sources.
• Coordinate the preparation of fiduciary trust accountings for trusts and other entities served by the Company including the setup of a best-in-class trust accounting system.
• Coordinate the preparation of financial records, reports, and statements of the Company.
• Manage and coordinate compliance with all trust notification and reporting requirements.
• Assist the President and support Trust Officers in preparing, coordinating and administering board and committee meetings for the Company.
• Coordinate preparation of reports, resolutions, and minutes for board and trust committee meetings in collaboration with Trust Officers and under the supervision of the President.
• Establish, perform, and administer proper and approved internal controls for the Company and for trust investment management and administration.
• Review Company Bylaws, Operating Agreement and Policy and Procedures Manual on an annual basis and recommend any updates.
• Assist the President in creating and managing the annual budget for the Company.
• Coordinate with investment advisers to track, execute, and account for the investment activity of trusts, including posting transactions, placing and settling securities trades, completing wire transfers, issuing checks and transfers and balancing daily work.
• Oversee all approved functions to properly administer all aspects of accounts including Trusts, Estates, Investment Agencies, Custodial Accounts, Escrow Accounts, Land Trusts, IRA’s and Employee Benefit accounts.
• Manage account opening, ongoing administration, reviews and account closing procedures, problem resolution, accounting preparation.
• Assist the President in coordinating and overseeing the work of external attorneys, accountants, and other professional service providers as needed and directed.
• Supervise trust operations personnel as needed.
• Assist the CEO and President with the development and administration of Company policies and procedures, including trust company regulatory compliance.
• Under the direction of the President and with assistance of counsel, ascertain and document proper interpretation wills, trusts, and other legal documents with respect to trusts or estates under management. Create trust summaries when appropriate.
• Assist the President in advising the Board and committees regarding aspects of trusts and other entities served by the company and participate in investment committee and distribution committee meetings as requested.
• Produce and organize all necessary or requested materials for regulatory authorities and auditors and provide on-site responses and support during examinations and audits.
• Stay current on the Florida Trust Code to ensure compliant Company operations and to fulfill regulatory requirements.

Confidentiality and efficiency are very important qualities for our Chief Operating Officer. You must possess effective communication skills and deep knowledge of trust administration and operations, including fiduciary and legal obligations.

Minimum qualifications required for your success:

• Bachelor’s degree in Business, Finance, Law or related area, or equivalent business
• 10+ years of managerial experience in investment operations and/or trust administration.
• Familiarity with fiduciary income taxation, trust accounting, trust investments, and trust investment management principles and trust law.
• Familiarity with trust accounting, trust management, and investment management systems.
• Ability to work on multiple tasks/projects simultaneously.
• Strong organizational skills.
• Exceptional communication skills, both oral and written communication skills are required. Must be able to interact effectively with all levels of personnel, clients and outside contacts.
• Proficient with Microsoft Office suite (e.g., Word, Excel, PowerPoint, Outlook).
• Occasional travel may be required.

Additional helpful qualifications:

• Experience creating, administering and/or operating a private family trust company
• Certified Trust and Financial Advisor (CTFA)
• CPA, JD and/or MBA
